Feature Spotlight: Save As
Posted by Denis Ahearn on December 02, 2008
In a recent upgrade, we introduced the ability to perform a "Save As" on a project or list, which provides an easy way to make a complete copy of an original project or list. Since the way we added this feature to OnePlace is a tad bit on the subtle side, we thought it would be a good idea to highlight the this cool new feature here on our OnePlace blog.
So why the need to copy a project or a list? Well, here's just one of the many possible uses.
Suppose your team uses OnePlace to collaborate and share information related to your customers, and you've decided you want a project for each of your existing customers, as well as any new customers that come along in the future. And, each time you bring on a new customer, you don't want all the overhead associated with spinning up a project for that customer . Here's where project "Save As" comes to the rescue. Simply create a "New Customer" project in a workplace that makes sense for your team, and then use it as a template for all new customer projects.
This template project will contain things relevant to all your new customers. Perhaps you have a set of standard topical discussions that your team uses to discuss matters related to a customer. Maybe you have a series of initial tasks that certain members of your team perform each time you on-board a new customer. Perhaps there's a set of bookmarks you want to start out with for each new customer that will grow over time, so you create a customer bookmarks list in your starter project. You get the picture. With project "Save As", all this data can now be created with just a few mouse clicks.
You can start to see how powerful this feature is.
Both the project "Save As" and the list "Save As" perform deep copies. All things under the project (discussions, sub-projects, tasks, lists and notes) and the list (list group and list items) are automatically copied for you, no matter how deep the hierarchy. The one exception are files. We don't currently make a copy of files attached to a project, but hope to add this feature some time in the future.
So, how do you do a "Save As" on a project or list? It's easy:
- To start with, find the project or list you want to make a copy of.
- Hover over the title of the project or list, and click the "Save As" icon that appears in the pop up toolbar (shown below):
- An alternative to #2 is to click on a project or list first (i.e. drill in), and then click the "Save As" button shown to the right of project/list title, in the Details view.
Once you click on the "Save As" icon, a "Save As" dialog will appear, allowing you to specify information used when making the copy. The project "Save As" dialog is shown below.

As you can see, certain fields on a project are defaulted to values from the original project. Feel free to change those if you like. You can also choose the workplace and parent project (optional) of where you would like to place the copy. You can leave it set to the original workplace and project, or choose a different location if you prefer.
Highlighted in the dialog shown above are some special "Save As" options that apply when copying a project. You have the option of preserving or wiping out all task assignments specified in the original project. You can also choose to include or exclude archived contents when making your project copy.
Making a copy of a list is pretty much the same. You can choose the workplace and project (optional) where you would like the list copy to reside.

Copying projects and lists was something requested often by our customers. We're happy to get this functionality into their hands. Let us know if you feel the need to be able to perform a "Save As" on other types of data in OnePlace, such as a task or note. We can certainly add this capability as well.
